How to connect Experiences Bookings to Zapier

Learn how to connect your experience bookings to thousands of other apps using our Zapier integration.

In this article, we'll walk you through how you can use our Zapier integration to connect Experiences App to thousands of other apps to help automate tasks across one or more different systems.

What is Zapier?

For those of you who might be new to Zapier, we think it's pretty awesome! They provide a super-easy way to connect events a data across many different applications. without having to go through all the work of building your own integration (as if you would want to do that anyway).

Let's say, for example, every time you get a booking for an experience, you want to send out an email or update a google spreadsheet. You can use Zapier to create what are called Zaps which will allow you to map events and data from Experiences to another app like Gmail, Google Sheets, or thousands of others. All of this is done without code and without having to set up any integrations on your own.

How to install the Zapier integration on your app

Now that you've got your Zapier account all set up, the next step is to link Experiences App to a new Zapier Zap. To do this, you'll want to first go to the Apps page inside of the Experiences App admin dashboard.

From there, you'll want to choose the "Zapier" app card in the list of available apps.

Next, click the "Install" button to install the Zapier integration on your shop.

Once installed, you'll see a new tab appear to the left titled "Settings", which will contain your Zapier credentials needed to allow Zapier to access your Experiences App events.

How to set up Experiences App to trigger actions in Zapier

Now that you have Zapier installed in your Experiences App, you'll need to go over to your Zapier account to create a new Zap. To start that, simply click the "+ Create Zap" button from your main Zapier dashboard.

Give your Zap a name and then in the triggers search bar, search for "Experiences". You should see the Experiences App trigger come up in the list of the available triggers, which you'll want to choose.

This will take you to a new page where you'll walk through configuring your Experiences App trigger.

Right now, the only available event to trigger an action with is the "booking.create" which is sent every time you get a new booking for one of your experiences. We'll be adding all kinds of new events in the future so keep your eyes out for other event triggers!

If this is the first time you've connected your Experiences App account to Zapier, then you'll need to create a new account. Otherwise, you can choose the same account you used previously when creating a Zap.

Clicking "Connect a new account" will open up a new window where you'll finally be prompted to enter the App ID and App Key from when you installed Zapier. Simply copy and paste in the values from the Zapier settings back into Experiences app and click "Continue".

Zapier will prompt you to test your trigger, which at this time isn't necessary as there won't be any events to test with. For now, you can simply click "Skip Test" and "Confirm".

You'll also be shown a sample payload for the data that Experiences App will send to Zapier.

Click continue to complete the setup of your Experiences App Trigger, and you'll be ready to move on to set up actions.

How to set up actions for Experiences App events

Once you have the Experiences App trigger connected and ready to go, it's really up to you and your creativity to figure out what types of things to do with it!

To give you an idea of what you can do, you can see here I started setting up a MailChimp action to add or update a subscriber in your MailChimp account based on the email that the customer used to book an experience.

This is just one of the many examples of ways you can automate tasks between the Experiences App and other commonly used apps.

Over time we'll be building our own pre-built Zap templates for some things we think might be useful.
